How To Keep a History of Notes in Marketo

Whether it is ‘contact us’ notes or details a sales person wants to capture, organizations are always looking for a way to append notes, rather than overwriting historical information.

To keep a log of running notes, you will need two text area fields. For example, "Sales Notes" and "Notes to Append to Sales Notes". The Sales Notes should be created in SFDC on the lead and contact objects and mapped  together. The notes to Append to Sales Notes can be a Marketo-only field. After creating all the fields above, build your campaign by following these steps:

  1. If your campaign is inside a program, make sure the program is operational so you aren’t reporting on this activity.
  2. Create the campaign. Be descriptive in your campaign name.
  3. In the smart list, listen for a lead to be created with their ‘notes to append to sales notes’ populated, or a data value change in that same field.
  4. In the flow, use tokens to append any new notes with a date stamp prior to the previous notes.
    1. The Sales Notes data value will be changed to “{{system.date}} {{lead.Notes to Append to Sales Notes}} | {{lead.Sales Notes}}”
    2. Since the data is being appended to another field, you can also null out your ‘Notes to Append’ field.

Remember that in order to keep logging notes to this field, all new notes will need to be written to the Notes to Append field. If you write directly to the Sales Notes field, you may overwrite some historic data.
